Cassia, a nonprofit senior living organization, is hiring an Administrative Supervisor to join our talented team! In this integral role, you will join our administrative team in a key supporting role to our senior leadership team. This role will oversee two full time and one part time experienced team members while working alongside them to accomplish administrative tasks. We seek someone skilled at using the Microsoft Suite of applications on a daily basis - particularly Word and PowerPoint to support Senior Leadership and other departments. Having clear and concise writing skills are necessary to relay key information, and the ability to maintain confidential information is foundational. An eye for detail and the ability to manage multiple tasks and details will be key. You will also assist with backing up for other members of the Administrative Services team when needed. 

Our ideal candidate has 2+ years of recent office/ administrative experience, intermediate skill using Microsoft Outlook, Word, PowerPoint, and Outlook Calendar, as well as excellent communication skills. Position Type: This is a Full-Time, benefit eligible position working on- site at our corporate office in Edina, MN.  After three months of employment, there is an option to work remotely one day a week if training is completed and expectations are met and maintained.

Wage Range: $65,000 - $75,000 Annually depending on experience

Lead Administrative Assistant responsibilities:

  • Write communication on behalf of senior leadership, including letters, emails, documents, policies, and presentations.
  • Oversee insurance renewals and state entity renewals.
  • Assist Senior Leadership and key departments with a variety of specialized projects. 
  • Coordinate various on and off-site meetings, including invitations, food arrangements, agendas and presentation materials, and more.
  • Supervise and support two full time and one part time administrative team members.
  • Provide administrative backup of other administrative team members, including the receptionist (phone/guest responsibilities).
  • Notarize documents.
  • Perform additional duties as requested.
Lead Administrative Assistant requirements:
  • Associates or Bachelor degree preferred!
  • Intermediate to advanced working knowledge of Microsoft Suite Outlook, Word, PowerPoint and Outlook Calendar.
  • Basic knowledge of Excel.
  • 2+ years of recent office/administrative experience.
  • Ability to work both collaboratively and independently, prioritize and execute tasks, as well as learn new activities and procedures quickly. 
  • Ability to meet deadlines consistently.
  • Ability to maintain confidentiality.
  • Hold a strong attention to detail.
  • Excellent written and verbal communication.
  • Be a notary or willingness to obtain.
